IntelliDrive OS inventory is part of every account at $79/month. It keeps stock for each shop and van you set up, counts it with a barcode scanner, the device camera or by typing, and shows the shrinkage in dollars.

Transfers between locations show every product’s stock before and after. Parts bought for a customer’s job are tracked from needed to delivered, with carrier tracking and an optional text when the part arrives. A photo of a supplier invoice becomes a purchase order.

How does it work, step by step?

    Set up your locations

    Add each shop and each van as a location. Every location keeps its own stock levels and reorder points.

    Start a count for one location and scan or type what is on the shelf. Completing it sets the stock and records the shrinkage.

    Scan a supplier invoice or enter a purchase order. Saving it adds the stock to the location you choose, with each unit’s cost.

How does stock work across shops and vans?

Every shop and every van you set up is a location with its own stock levels and its own reorder points. Counts, transfers and purchase orders each name the location they change, so you always know where a part is.

When stock moves between locations, its cost moves with it, so FIFO, LIFO or average-cost figures stay right on every sale.

How do inventory counts work?

Start a count for one location. Count by scanning barcodes with a scanner, with the device camera in browsers that can read barcodes, or by typing quantities. Each line shows the difference from what IntelliDrive expected.

A count is treated as the complete truth for its location. Before you complete it, IntelliDrive shows how many products there still have stock but were not counted; completing the count sets counted products to what you counted and those uncounted products to zero. The finished count shows each difference and the shrinkage at cost, in dollars.

Can I check a past count and fix it?

Yes. Any completed count can be audited against everything recorded since. Each product is marked as matching, missing from stock, never applied, uncounted but still in stock, different, duplicated, or replaced by a newer count.

Products the count never reached can be fixed in one click, which brings their stock in line with the count plus everything recorded since. The fix is safe to run again; a product that already matches is left alone.

How do transfers between locations work?

A transfer moves stock from one shop or van to another in four steps: create, approve, ship and receive. Shipping is refused, with nothing changed, if the source does not have every unit. When it arrives you enter what was actually received on each line.

Each step shows every product’s stock before and after the move, at both ends, so a transfer can always be traced.

How are special-order parts tracked?

Log each part bought for a customer’s job: what it is, the vehicle, where you bought it, your order number, the cost and the shipping. It moves from needed to ordered, shipped and delivered, and every step is kept on the part’s timeline.

Add the carrier and tracking number, and the status updates from the carrier’s scans through Shippo. A late scan never moves a delivered part backward.

You decide whether to text the customer the tracking details, and you see the message before it goes. If you told them, they get one more text when the carrier reports the part delivered. The part’s cost and shipping are added to the job’s cost on the sale, so its margin is right.

Can IntelliDrive read a supplier invoice?

Yes. In Stock Control, upload a photo or PDF of a supplier invoice. IntelliDrive reads the line items, quantities, costs and totals, and suggests the matching product for each line by SKU, FCC ID or OEM part number for you to confirm.

Saving it creates a purchase order that adds the stock to the location you choose and records each unit’s cost for your inventory costing. You can attach the invoice image to the order.

How do reorder alerts work?

Give a product a reorder point at a location. When its stock there falls below that point, it appears in Reorder Alerts. Running the check sends owners and admins an in-app alert for each item, once until they read it, and can also create draft purchase orders grouped by supplier for you to review.

Do you buy parts from Royal Key Supply?

IntelliDrive can read Royal Key Supply order emails from a connected inbox or from mail you forward. Each order becomes a pickup with its items matched to your products. When it is ready, the people who handle pickups are notified and one tech claims it, so nobody makes a second trip. Receiving it adds the parts to that tech’s location with their cost.

What doesn't it do?

  • Low-stock alerts appear inside IntelliDrive only; there are no low-stock emails or texts.
  • A purchase order is received in full, in one step. There is no partial receiving.
  • There are no supplier price feeds. Costs come from your purchase orders and invoices.
  • Invoice scanning reads the invoice and suggests products; it does not compare the invoice with an earlier order or flag discrepancies.
  • Counting with the camera needs a browser that can read barcodes. Otherwise, use a barcode scanner or type the quantities.

Can I track the stock in each van?

Can I tell a customer their part has shipped?

Yes. Add the carrier and tracking number to the part order and choose to text the customer; you see the message before it goes. If you did, IntelliDrive texts them once more when the carrier reports the part delivered.

Can IntelliDrive read my supplier invoices?

Yes. Upload a photo or PDF of a supplier invoice in Stock Control. IntelliDrive reads the lines and suggests the matching products for you to confirm, then saves a purchase order that adds the stock and records the costs.

What does inventory cost?
