When a dealership, fleet or parent company pays for work on someone else’s vehicle, IntelliDrive keeps both sides straight: the account that pays gets the bill, and the customer you served keeps the vehicle record.

In short

Dealer and fleet billing is part of every IntelliDrive OS account at $79/month. Any sale, quote or invoice can name a bill-to account, such as a dealership, a fleet or a parent company, that pays for work done on someone else’s vehicle, along with a PO number.

The bill-to account gets the receipt, the payment link and the statement. The customer you served keeps the vehicle record and the warranty.

Accounts you trust can be charged On Account, and you can send any account a statement for the dates you choose, with the car owner and the PO number on every line.

How does it work, step by step?

    Set up the paying account

    Add the dealership or fleet as a customer. Turn on Credit Authorized (On Account) if they are allowed to pay later.

    Link regular customers to it (optional)

    On a customer who always bills to that account, set Bills to. The Sell page then fills in the bill-to account whenever you choose that customer.

    Ring up the job

    On the Sell page, choose the customer whose vehicle you worked on, add or confirm the bill-to account, and type the dealer’s PO number.

    Collect or charge to the account

    Send the payment link to the paying account by text or email, take another payment method, or choose On Account to add the amount to their balance.

    Send the statement

    In Statements, pick the account and the date range, check the preview, then download the PDF or email it from IntelliDrive.

How does a bill-to account work on a sale?

Every sale has the customer the work was done for, usually the vehicle owner. You can add a second customer, the bill-to account, who pays: a dealership, a fleet or a parent company. Leave it empty and the same person pays, as usual.

A customer can have a default bill-to account. Set Bills to on their record and the Sell page fills it in every time you choose them; you can still change or remove it before checkout. Quotes and invoices carry the bill-to account and PO number too, and a quote you turn into a sale keeps them.

Who gets the receipt, and who keeps the vehicle record?

IntelliDrive splits the paperwork by role, so nobody gets a document meant for someone else.

  • The bill-to account gets the emailed receipt, which reads “Bill to” with their name and PO number and “Service for” with your customer’s name.
  • Payment links go to the bill-to account’s email and phone by default, through your own QuickBooks Payments, Square or Stripe account.
  • The bill-to account’s statements, On Account balance and lifetime sales include the jobs billed to them.
  • The customer you served keeps the vehicle record and the warranty for the work.

Where does the PO number show up?

You type the PO number on the Sell page, and you can add or correct it on the sale later. It appears on the sale, on the emailed receipt next to the bill-to name, and on each line of the account’s statement.

Can a dealer or fleet pay later, on account?

Yes, if you allow it. Turn on Credit Authorized (On Account) on the paying account’s customer record. At checkout, choose On Account as the payment method and the amount is added to that account’s balance instead of being collected.

On Account needs a customer or a bill-to account on the sale. Once a sale has been charged On Account or has been sent to QuickBooks, its bill-to account can no longer change; to move it, void the sale and ring it again.

What does a dealer statement show?

Open Statements, pick the account and the date range (the last 90 days by default). The statement shows the opening balance, every On Account charge and every invoice in the period, the payments recorded on those invoices, a running balance and the ending balance.

On a dealer’s statement each line names the car owner and the PO number, so the dealer can match it to their own records. Download the statement as a PDF or email it from IntelliDrive. Statements are sent when you choose to send them; nothing goes out automatically.

How do I see everything billed to one account?

The paying account’s customer page shows its balance, its lifetime sales including jobs billed to it, how many customers bill to it by default (“Pays for”), and its transaction history, where each job billed to it is tagged with the customer it was for.

What doesn't it do?

  • The default Bills to setting is one level only: an account that other customers bill to cannot itself bill to someone else.
  • A payment taken against an account’s balance with Pay Balance is recorded on the sales it pays, but the balance shown on the account and its statements do not subtract it yet. Statements do subtract payments recorded on invoices.
  • Statements are prepared one account at a time and sent when you choose; there are no automatic monthly statements.
  • There are no customer-group prices or dealer price lists at the register; adjust the price or add a discount on the sale.

Can I bill a dealership for work on its customer’s car?

Yes. Ring up the sale for the customer whose vehicle you worked on and add the dealership as the bill-to account, with their PO number. The dealership gets the receipt, the payment link and the statement, and the vehicle record and warranty stay with the customer you served.

Can a customer bill to the same dealer every time?

Can a dealer pay later?

Yes, if you turn on Credit Authorized (On Account) for that dealer. Then choose On Account at checkout and the amount goes on the dealer’s balance instead of being collected now. You can also send the dealer a payment link by text or email.

Can I send a dealer a monthly statement?
